1. About this policy

This Privacy Policy describes how Adminly (“Adminly”, “we”, “us”) handles personal information in connection with our website, enquiries, demonstrations and services. Adminly is an AI front desk and revenue recovery service for Australian home-service businesses.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, to the extent they apply to us.

2. Information we may collect

The information we collect depends on how you interact with Adminly. It may include:

  • contact details, such as your name, phone number and email address;
  • business information, such as your business name, role and the services you provide;
  • service enquiry and job information, such as the type of service requested, the issue described, address or suburb, property information, urgency and preferred appointment or service times;
  • call and communication information, such as call times and durations, messages, and the content of calls and messages handled by the service;
  • call recordings and transcripts, where applicable (see section 6);
  • booking and demonstration information you submit through our website, forms or booking tools; and
  • website and technical information, such as device, browser and usage information.

3. Information processed for Adminly clients

Some of the personal information we handle relates to people who interact with us directly, for example a business owner who visits our website, contacts us or books a demonstration. In those cases we handle the information for our own business purposes.

When Adminly answers calls, follows up missed calls or handles enquiries and other communications for a client business, we may process personal information about that client’s customers and prospective customers on the client’s behalf, to provide the service. In those cases the client business decides why it wants the information handled and is generally the main point of contact for that information; Adminly handles it to deliver the service to the client.

How these roles apply in a particular situation can depend on the circumstances. If you are unsure who is responsible for your information, contact us and we will help point you in the right direction.

4. How we collect information

We may collect information:

  • directly from you, when you contact us or provide details to us;
  • through calls, messages and other communications handled by the service;
  • through forms, demonstration requests and bookings, including through third-party booking tools;
  • from Adminly clients, in connection with the service we provide to them;
  • automatically, through website and service technologies where applicable; and
  • through third-party services that are integrated with Adminly to deliver the service.

5. How we may use information

We may use personal information to:

  • provide, operate and support Adminly;
  • respond to enquiries and arrange demonstrations;
  • handle and qualify service enquiries;
  • pass enquiry details to the relevant client business so they can follow up;
  • send operational communications, such as service-related SMS messages and notifications to client businesses;
  • improve the reliability and quality of the service;
  • troubleshoot problems and maintain the security of our systems; and
  • comply with applicable legal obligations.

6. Call recordings and transcripts

Where call recording or transcription is enabled, recordings and transcripts may be processed to provide the service, support quality and reliability, troubleshoot issues, or provide information about a call to the relevant client business. Not every call or interaction is necessarily recorded or transcribed.

7. Disclosure and service providers

We may disclose personal information to:

  • the relevant Adminly client or business;
  • service providers and infrastructure providers that help us operate Adminly, such as providers of telephony, messaging, hosting, scheduling and artificial intelligence services;
  • professional advisers, where appropriate; and
  • government or law enforcement authorities, where required or authorised by law.

8. Overseas processing and disclosure

Some of the technology and service providers we use may operate internationally. Depending on the provider and how the service is configured, personal information may be processed or stored outside Australia. Where this occurs, we take reasonable steps in the circumstances to handle the information in a way that is consistent with the Australian Privacy Principles.

9. Data security

Adminly takes reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Data retention

We retain personal information only for as long as is reasonably necessary for the purposes for which it was collected or processed, for our legitimate business requirements and to meet applicable legal obligations. When information is no longer needed, we take reasonable steps to destroy it or de-identify it, unless we are required by law to keep it.

11. Access and correction

You can ask to access or correct the personal information we hold about you by contacting us at admin@adminly.com.au. We will respond in line with applicable law, and access may be refused in some circumstances where the law allows.

If your information was processed on behalf of an Adminly client, we may direct you to that client business where appropriate, or work with them to respond to your request.

12. Privacy complaints

If you have a concern about how your personal information has been handled, please contact us at admin@adminly.com.au with the details. We will review your complaint and respond appropriately.

If you are not satisfied with our response, you may have the right to contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au, where applicable.

13. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be published on this page with a revised “Last updated” date.
